SAP Policy
SATISFACTORY ACADEMIC PROGRESS (SAP)
The progress of each UMMSM student is carefully monitored. Satisfactory Academic Progress (SAP) is defined by both qualitative and quantitative standards as described below. Academic progress of each student is reviewed at the completion of each academic year and is deemed satisfactory if standards are met.
Qualitative standard
Academic progress is not measured by a cumulative grade point average. Students are graded Pass (P), Remediated (R), or Fail (F) throughout their matriculation. Students must achieve a minimum grade of “P” or “R” (satisfactory completion of work) in all required courses, electives, and clerkships to progress to the next academic year (class of 2021, 2022, 2023) or phase of the curriculum (class of 2024). Each year at the completion of the spring semester, a student’s progress is evaluated based on the pass/fail qualitative standard. Students are meeting the qualitative standard for federal aid eligibility if they progress through the program with passing grades.
Quantitative standard
Students must successfully complete the required MD courses of study within a required time frame. The usual time frame to complete required MD coursework is four academic years. Students may require additional time for academic or personal issues. In these cases, a student may be required to repeat part or all of an academic year of study as part of the recommendations and academic plan mandated by a promotions committee. The aggregate amount of time to complete requirements solely for the MD degree (regardless of the degree program, eg. MD, MD/MPH, MD/MBA, MD/PhD) should not exceed 6years. A student may be granted a leave of absence for a variety of reasons. The period of leave for which the student has been approved may be excluded from the maximum time frame in which an individual student will be expected to complete the program.
Each year at the completion of the spring semester, a student's cumulative completed-credits percentage is determined to ensure at least 67% of all credits attempted toward the M.D. degree are completed. The total credits attempted to date (including any course in which the student was enrolled with grades of Withdraw Pass (WP), Withdraw Fail (WF), and Incomplete (I)) will be compared to the total credits actually earned. Students are eligible for federal financial aid if they progress through the program with passing grades while successfully completing at least 67% of all credits attempted and in accordance with federal financial aid regulations. Students approved to repeat coursework are making Satisfactory Academic Progress as long as they meet the conditions established by the Class/Phase Promotions Committee.
Enforcement
The Office of Student Affairs and the Promotions Committees collaboratively have the responsibility for monitoring and enforcing Satisfactory Academic Progress. The Financial Aid Office will be alerted to students not achieving SAP. Please refer to “Satisfactory Academic Progress and Federal Financial Aid” located in the Student Support Services portion of the Handbook to understand how this may impact a student’s financial aid package.
SATISFACTORY ACADEMIC PROGRESS AND FEDERAL FINANCIAL AID
Students receiving federal financial aid must exhibit evidence of Satisfactory Academic Progress according to Title IV federal regulations. Students who fail to make Satisfactory Academic Progress at the end of the academic year will not be eligible for federal financial aid in the term that follows. These students will be notified in writing by the Office of Financial Assistance.
Financial Aid Appeal
Students who fail to make satisfactory academic progress may submit an appeal to the Financial Aid Appeals Committee comprised of members of the Office of Financial Assistance, Dr. Richard Weisman, and Dr. Barry Issenberg. The appeal must state the circumstances contributing to the student’s failure to make satisfactory academic progress (e.g. family emergency, death in the student’s immediate family, a student’s medical illness, or other undue hardships), and the changes in circumstances that will allow the student to demonstrate satisfactory academic progress at the next evaluation.
Financial Aid Probation
Once an appeal has been approved, a student is placed on financial aid probation and is eligible for federal financial aid. The promotion committee that provides a recommendation for that student will have developed an academic plan for the student. This plan, at a minimum, will require that the student must meet the UMMSM’s Satisfactory Academic Progress standards by the end of the academic year during which financial aid probation is in effect. During this time, the student will be monitored at the end of each academic semester to ensure that the conditions of the academic plan continue to be met. A student who does not comply with the satisfactory academic progress standards by the end of the financial aid probationary period is suspended from receiving further federal financial aid. A student shall be reinstated for financial aid eligibility when they satisfactorily complete sufficient coursework to meet the standards of progress within the appropriate time frame. The Office of Financial Assistance will subsequently inform any student whose financial aid has been impacted.

The University of Miami recognizes that ensuring the integrity of the student financial aid process is critical to providing fair and affordable access to higher education. The Student Loan Code of Conduct is designed to avoid any potential for a conflict of interest between the University and its students or their parents, with respect to its interaction with student loan providers, servicers and guarantee agencies.

Tuition Refund Policy and Withdrawal or Leave of Absence
Tuition Refunds
The MSOM manages the refund of tuition and fees in accordance with LCME guidance that states a medical school must maintain clear policies for the refund of a medical student’s tuition, fees, and other allowable payments (e.g., payments made for health or disability insurance, parking, housing, and other similar services for which a student may no longer be eligible following withdrawal).
MSOM students enrolled in at least 1 credit will be charged full tuition and fees for the semester. If a student withdraws completely, a refund of tuition charges will be applied in accordance with the following guidelines:
Withdrawal Timeframe Refund Policy Complete Withdrawal within 2 weeks of the start of the fall or spring semester 100% Tuition + Fee Refund Complete Withdrawal within 4 weeks of the start of the fall or spring semester 50% Tuition Refund (Fees not refunded) Complete Withdrawal within 6 weeks of the start of the fall or spring semester 25% Tuition Refund (Fees not refunded) Complete Withdrawal 6 weeks after the start of the fall or spring semester 0% Tuition Refund (Fees not refunded) *For purposes of tuition refund complete withdrawal refers to a withdrawal from a semester with intent to return to the program and not a permanent withdrawal from the academic program.
Notes:
- Students are responsible for all fees in every semester in which they are registered.
- Tuition refunds for partial withdrawals (for example an individual course) are not issued.
- When students re-enroll in a semester from which they have withdrawn or failed, they will be assessed full tuition for the repeat attempt.
- Students who have paid 100% of 8 semesters of MD tuition will receive a 100% tuition waiver for additional semesters required to earn the MD degree. Students are responsible for all fees in every semester in which they are registered.
