Hurricanes & Tropical Weather

• Confirm or update your personal contact information: Go to Workday, click on the Personal Information worklet; click the Contact Information link under the “Change” column. Make sure your cellular number is listed as a phone number within the “Work Contact Information” and it is correctly designated as “mobile” in the device field. If you need to make any changes, click Edit and follow the instructions within the Change Contact Information tip sheet.
• Designate Essential Personnel: Managers should use Workday to designate the employees they have pre-identified as Essential Personnel—those employees who will be needed immediately before, during, and/or after an emergency when the campuses are closed for normal operations. Managers needing to make this important designation should follow the instructions within the Designating Essential Personnel tip sheet.
• Ensure all data is on a network drive or University approved cloud based storage solution (Box, OneDrive, Google Drive).
• Make sure you have all important phone numbers for your supervisor, Public Safety: 305-243-6000, and the Medical Campus Rumor Control and Emergency Information Hotline number: 1-800-227-0354.
• Gather all necessary emergency supplies, including plastic tarp and tape for covering office equipment; the materials can be purchased from Physical Plant Materials Management: 305-243-6019.
• Supervisors and unit emergency planners should confirm through the UReady system that their unit’s continuity plan is up-to-date and that all relevant emergency plans and policies are readily accessible.
• Each unit’s human resources representative should download contact information from Workday and keep printed copies in multiple locations.
• Unit leaders should confirm that all personnel who have any role in emergency/disaster mitigation, planning, response, or recovery have completed the appropriate level of National Incident Management System (NIMS) training.
• All capital equipment should be photographed, compiled in a document, and uploaded in the UReady system in accordance with the Photo Documentation Process established by Risk Management.

• The Medical Campus is NOT a designated hurricane shelter. Within a few hours before a storm is forecasted to strike, entrances to all campus buildings will be secured and card access systems will be deactivated to prevent reentry.
• Remain indoors.
• Do not open exterior doors or windows.
• Refrain from using alcohol or other impairing substances.
• Follow directions from your superior/University Officials.
• Visit Miami-Dade County’s WeatherSTEM On-Campus Weather Stations to view current weather conditions on the UHealth main campus.

• As soon as you can get to a working phone, check in with your supervisor or designee to them of your status and where you can be reached. Physicians and clinical personnel may be called to work before the University officially re-opens for business.
• Remain inside until University Officials say it’s safe to leave. If you must go outside, be cautious of fallen objects and downed electric wires.
• Contact family members by any available means and advise you are safe.
• Await further instructions from University Officials.

• Power lines: When returning home, walk around outside first; check for downed power lines, gas leaks and structural damage. Do not enter if you smell gas.
• Water safety: Listen to local officials for reports if water is safe to drink/safe to use to prepare food.
• Roads: Damaged/flooded roads may still be closed. Barricades are there for your protection. If you see a barricade, turn around.
• Generators: NEVER use a generator inside, even with fans or open windows. Deadly levels of carbon monoxide can build up and linger.
• Do not go to a hospital emergency room unless you’re suffering from a serious or life threatening injury or illness. Instead, call your primary care doctor or nearest urgent care center.

In 2013, Miami-Dade County revised all storm surge planning (evacuation) zones based on the newest generation of modeling data. As a result, a significantly greater portion of the County falls within planning zones. It is critical for all employees to follow supervisor orders regarding any modifications to work schedules during tropical cyclone threats. University Healthcare facilities and operations may continue to function despite their location within a planning zone.

It is also important for all University community members to know if their home is within a storm surge planning zone, and if so, how it may affect their response plan. If you live in Miami-Dade County, determine whether your home is in a storm surge planning zone by visiting the storm surge planning zones website and entering your address, or call the Miami-Dade County Answer Center at 3-1-1.
