John K. Robinson Grant Application

The John K. Robinson Travel Grant funds travel and accommodation expenses for individual students accepted to present scholarly work at professional conferences. This grant is to support research in basic science, clinical science, patient-related projects, leadership programs, medical education, and community-based participatory projects on behalf of the University of Miami Miller School of Medicine.

Eligibility Criteria

  • Presenting Author Requirement: The student must be the first author of the scholarly work submitted for presentation. Exception can be made for presenting authors if different than first author with approval from the faculty PI:
    • If the student is not the first author but is the presenting author, they must provide confirmation from the Faculty Principal Investigator (PI) supporting the work. This letter must confirm the student's role as the presenting author. Funding will not be granted for more than one student per project. If the first author is unable to attend, an alternate presenting author may be considered with appropriate confirmation.
  • One-Time Award (with Exceptions):  Each eligible student may receive the John K. Robinson Grant at least once during their academic career at the University of Miami Miller School of Medicine. Exceptions may be considered for students who have already received the award once and are unable to secure alternative funding for subsequent presentations, dependent on availability of funds.
    • Exception Request Process: Students seeking an exception to the one-time award limit must submit a written request outlining the reasons for the exception. The request should include efforts made to secure alternative funding and any unique circumstances that warrant special consideration.  Exception requests will be reviewed on a case-by-case basis, taking into account the student's previous receipt of the award, financial need, and the availability of funds.
    • Priority Consideration: Priority will be given to students who have not yet received the John K. Robinson Grant during their academic career.
  • Presentation Requirement: The student must be presenting the research at a recognized professional conference.
  • University Recognition: The project must prominently highlight the University of Miami Miller School of Medicine's name and logo included on the poster or PowerPoint (if oral/slide presentation). Priority will be given to applications for projects that highlight work at the UMMSM.
  • Faculty Mentorship: The research must be conducted at the University of Miami Miller School of Medicine under the supervision of a faculty mentor.
  • Excused Absence Approval: Students must submit their approval for an excused absence from their course director as part of the application process and prior to approval of funding.
  • Application Deadline: Applications must be submitted at least 15 days before the conference date. Applications received within the 15-day period leading up to the presentation will not be considered.

  • Signed Faculty Member Statement of Support Form
  • Signed Faculty Acknowledgement of Presenting (non first author) status – ONLY required IF APPLICABLE
  • Presentation (poster presentation, podium presentation, speech outline, slide deck, etc.) - this may not be available at the time of submission of the application, but is due no later than after the conference and with submission of receipts. 

Notes

  • Funds are limited and are on first-come, first served basis.
  • The maximum grant amount is $1,000 for all travel and accommodation expenses, regardless of the destination. The amount distributed/reimbursed may be less than $1000 and based on overall expenses submitted. 
  • If awarded travel grant, itemized receipts are required, equal to the outlined budget. 
    • Food is not an eligible or refundable expense.
  • All travel award funds are reimbursements to students; funds are distributed after the conference or symposium.
  • M.D./Ph.D. Candidate Eligibility: M.D./Ph.D. candidates are eligible to apply only during the M.D. portion of their training.
